FAQ Import patient database

This article answers the most frequently asked questions about the tool for importing your patients' data into your Doctoranytime calendar.

What file formats are accepted?

The tool accepts files in CSV, XLS or XLSX format.


How do I prepare my file?

Please consider the following points when preparing your file:

  • The imported file must contain only one page.
  • All columns must have a title and this must correspond to each existing property (First name, Last name, Email address, etc.). To do this, it is recommended to use the template present in the import guide for your patient database:

  • Your file must not contain more than 250,000 rows and 1,000 columns.

Why does my import have errors?

Import errors can occur for a variety of reasons. The most common errors are:

  • The file format is not accepted (accepted file types: CSV, XLS or XLSX).
  • The column title does not match an existing property.

Is my patient data protected?

Your patient database is encrypted and protected by an SSL certificate. You own your database and can therefore retrieve it in its entirety at any time.


Who has access to import information?

Any user authorized to import will have access to the import information.


What are the import conditions?

Your file must be less than 150MB and contain less than 250,000 rows and 1,000 columns.


What happens if I import a list of contacts that already exists into my Doctoranytime database?

If a patient already existing on Doctoranytime is among the new imported patients, this patient will be duplicated in your database. However, you will be able to delete it manually from your calendar once we have confirmed that your import is complete.


Why is my import taking so long?

The larger your file, the longer it takes to import your data. Additionally, the tool can only import one file from one practitioner at a time.


What types of notifications can I send to my patients once they are in my Doctoranytime database?

You will be able to send invitations via SMS or email so that they can make an appointment through your online profile.

You will find three different types of emails depending on the type of consultation you want to present to your patients. Sending SMS is chargeable.


How long does it take to access my database from Doctoranytime?

It takes 72 hours to import your database into Doctoranytime, send the SMS and/or emails that have been selected. You will be notified once your database is online.
